The Warren Alpert Medical School’s building at 222 Richmond St. contains a number of flexible spaces for events of all types, from seated lectures to festive dinners. The Senior Event Manager oversees all events at the Medical School and is available to assist with the coordination of major events.
Priority for space requests in the building is always given to the medical curriculum. The building’s purpose is medical education, and therefore classes, tutoring sessions, workshops – anything related to our core mission of medical education – take precedence in the allocation of space and time. As such, events outside those objectives cannot be scheduled until the curriculum has been set for the semester. While planning ahead is always recommended, please understand that if you are trying to schedule an event that falls in a future semester, your space will not be confirmed until we are assured the space is not needed for medical education.

External Third-Party Events
Faculty, students, and staff are not allowed to schedule the use of space on behalf of external third parties without prior approval from Medical School leadership. “Third parties” are defined as organizations or groups that have no official affiliation with Brown, even if the audience for the event is Brown students or faculty. Events for external groups, where less than 85% of the attendees are members of the Division community, must be sponsored and approved by a member of the Medical School’s leadership team.
The Policy on Use of Campus Space by External Third Parties governs the use of space by outside groups.
Political Events
As a non-profit, private institution of higher education whose activities are regulated in part by Section 501(c)(3) of the Internal Revenue Code, Brown University is prohibited from participating in political campaigns for candidates, political parties and political organizations or ballot initiatives, and is restricted in conducting lobbying activities. This prohibition extends to faculty, staff, and students. University facilities must not be used for any activities prohibited under the Political Activity Policy.
Events at Brown University Locations
Employees of Brown – that is, faculty and staff who are paid by the University – may also request to hold events on the Brown University campus. The University has its own policies that apply to event requests, which are made through Event Strategy and Management.
Event Planning
Medical School Administration handles the scheduling of certain meeting rooms, classrooms, lecture halls, and seminar rooms within the building. Please be respectful of our rooms and the building; the event organizer (group or entity booking the room) is accountable for any damage to the room(s) or equipment.
If you need catering and/or facilities support (eg. tables, chairs, removing existing furniture) for your event, The Warren Alpert Medical School’s Event Manager will assist you with that process. Once your event is approved, the Event Manager will be in touch to arrange those details with you.
Event Cancellations
If your event is canceled, please send an email to AMS-RoomScheduler@brown.edu as soon as possible so we can make the room available.
